Climate Pledge Arena, located in Seattle Center in downtown Seattle, Washington, has been a key part of the city’s sports and entertainment scene for over 50 years. It is home to the National Hockey League’s Seattle Kraken, the WNBA’s Seattle Storm, and hosts hundreds of concerts and other events annually. The arena is also focused on sustainability and is the world’s first net zero-carbon certified arena, powered exclusively by renewable energy. The Sports Business Journal named Climate Pledge Arena Facility of the Year in 2022. The Seattle Kraken is a professional ice hockey team based in Seattle, and they play their home games at the Climate Pledge Arena.
The Challenge
Climate Pledge Arena, a central hub for sports and entertainment in Seattle, and the Seattle Kraken, a National Hockey League team, were facing challenges in managing their event schedules and ticket sales. The arena's marketing team was tasked with driving ticket sales and ensuring smooth execution of all events. Similarly, the Seattle Kraken's Sales and Service team aimed to boost season-ticket and single-game ticket sales, as well as sales of premium suites for games and other events at the arena. Both teams were using traditional spreadsheet software and email for event management and communication, which proved to be inefficient and time-consuming. The pandemic-related scheduling difficulties further complicated their project management. Additionally, the marketing team was using email and online drop box applications to store and share creative assets, which was also a cumbersome process.
The Solution
To overcome these challenges, the Climate Pledge Arena marketing team integrated Smartsheet into its creative workflow and event management processes. They now use a comprehensive organizational sheet that contains all updated event information. Any addition or update to an event populates an event marketing sheet that triggers a checklist of 18 different assets that need to be built prior to announcing a new event. Automated workflows in Smartsheet notify them when any new project gets entered into a sheet. The team also uses Brandfolder, Smartsheet’s digital asset management system, to store all arena and event branding assets. The Seattle Kraken sales and ticketing team uses Smartsheet to manage its premium suite ticket inventory, including schedules, availability, food ordering, suite donation, and primary contacts. They also use the Smartsheet mobile app for real-time access to suite inventory data.
Operational Impact
  • The integration of Smartsheet and Brandfolder has significantly improved the efficiency of event management and ticket sales processes for both Climate Pledge Arena and the Seattle Kraken. The marketing team has streamlined and automated its event management and ticket sales processes, while the sales and service team has seen efficiency in tracking suite sales. The use of custom reports in Smartsheet has saved 4-5 hours per week previously spent manually building ticketing reports. Communication, both internally and externally, has also improved. Having a central location for updated ticket and sales data ensures everyone on the team is on the same page at all times. Climate Pledge Arena is now considering rolling out Smartsheet to additional departments to drive new efficiencies for the organization as a whole.
